CCPA Employee Privacy Notice

This California Employee Privacy Notice (“Notice”) describes how Trusted Telehealth® LLC (“TTH.ai”, “we”, “us”, or “our”) collects, uses, and discloses personal information of employees, contractors, job applicants, and other personnel who reside in California, as required under the California Consumer Privacy Act of 2018 (CCPA), as amended by the California Privacy Rights Act (CPRA).

1. Scope

This Notice applies to California-based employees, contractors, job applicants, officers, directors, and other personnel of Trusted Telehealth® LLC. It supplements our Global Privacy Notice and applies solely to personal information covered by the CCPA/CPRA.

2. Categories of Personal Information Collected

We may collect the following categories of personal information for employment and HR purposes:
• Identifiers (name, address, email, phone, government ID numbers);
• Professional or Employment Information (job title, work history, performance data);
• Internet/Network Activity (company device usage, login data);
• Sensitive Personal Information (e.g., SSN, driver’s license, health information where required for benefits);
• Education Information (degrees, certifications);
• Financial Information (direct deposit, tax withholding);
• Inferences drawn from other data to support HR operations.

3. Purposes for Collection and Use

We use the categories of personal information described above for purposes such as:
• Recruiting, hiring, and onboarding;
• Administering payroll, benefits, and leave;
• Conducting background checks and compliance screenings;
• Managing performance, training, and professional development;
• Ensuring workplace security and monitoring compliance with company policies;
• Meeting legal, regulatory, and reporting requirements.

4. Disclosures of Personal Information

We may disclose personal information to service providers and contractors that assist us with payroll, benefits, IT, security, training, and HR administration. We do not sell or share employee personal information for cross-context behavioral advertising. We only disclose Sensitive Personal Information as reasonably necessary for employment-related purposes, consistent with CPRA Section 1798.121.

5. Retention

We retain employee personal information as long as necessary to fulfill the purposes described above or as required by law, including:
• Payroll and tax records: minimum 4 years;
• Personnel files: minimum 6 years after termination;
• Health and benefits records: per HIPAA and ERISA requirements;
• Background check and recruiting records: minimum 3 years.

6. Your Rights

As a California resident, you have the following rights under CPRA:
• Right to Know the categories and specific pieces of personal information we collect;
• Right to Request Deletion of personal information, subject to legal exceptions;
• Right to Correct inaccurate information;
• Right to Data Portability;
• Right to Limit the use of Sensitive Personal Information;
• Right to Non-Discrimination for exercising your rights.

Employees and applicants acknowledge receipt of this Notice. We may request a signed acknowledgment to demonstrate compliance with CPRA requirements.
